1,500 Rooms, One Standard: How to Scale AV Across a Global Portfolio

Someone walks into a room in Sydney, taps a screen, and their call begins. A week later they do the same thing in London, in a room they’ve never seen, and it starts exactly the way it did at home.  That sameness is easy to take for granted, and it’s also one of the hardest things to hold across a global office schedule, once the rooms run into the hundreds and every location brings its own rules.

Why do global AV rollouts go over budget?

Ask most workplace leaders where a large rollout went wrong and they’ll point at the technology, but in our experience at Athena Blue that’s rarely where the problem sits, because the hardware is well understood and it behaves.

What pulls a program off course is the absence of a single standard, agreed before the first room is touched, and without one every office becomes its own negotiation, with the cost of those small differences adding up fast.

What does a workplace AV standard actually mean?

It’s tempting to treat a standard as a hardware specification, though it’s more useful to think of it as a promise: that a person can move between offices and never relearn how to start a meeting.

Finance leaders tend to feel the alternative first, because a room that falls out of step becomes its own support burden and its own retrofit risk, and enough of those add up to a portfolio nobody can maintain affordably.

So two questions belong right at the start. What stays fixed in every room, everywhere, and where is local variation genuinely allowed?

Some differences you simply accept, like available power or a load-bearing wall you can’t move. Others are only preference, and preference is what erodes a standard once nobody has drawn the line. Agree where that line sits early, and every region works from the same reference point.

How do you protect a standard as the project grows?

The brief will grow. It almost always does.

The difficulty only arrives when there’s no clean way to absorb a change without something else giving way, and a change process built in from the outset is what holds the line, letting a team say quickly what any addition means for the sequence of work, the resourcing and the cost.

The rest rewards planning, because procurement, customs and lead times vary from one country to the next, so our team maps delivery region by region before the schedule is locked, which keeps any single office from cutting corners just to hit a date.

Site access is worth confirming early too, since plenty of offices only allow works outside business hours, and that one detail can reshape a timeline on its own. And leadership doesn’t need every detail. What helps most is reporting that stays on progress, budget and the risks that genuinely need a decision.

What does this look like across 1,500 rooms?

One recent global office programme spanned North America, EMEA and APAC, and not long after work began the scope grew considerably, with more room types and more locations added while the delivery window stayed exactly where it was.

Because the groundwork was in place and the change process was already running, each new room and location followed the pattern already set, rather than sending the team back to the drawing board each time.

More than fifteen hundred rooms were delivered to a single standard, and anyone travelling between locations met the same experience wherever they landed.

Where should you start?

Scaling AV across a global portfolio comes down to protecting one workplace experience, and one budget, across a great many moving parts.

Get these decisions right before the project begins, and each office that follows becomes a version of the one before it rather than a problem solved from scratch. That’s what turns a rollout of this size from something to be survived into a genuine advantage.

Planning a rollout across multiple locations?

The decisions that protect your budget and timeline get made before the first room is touched. If that’s the stage you’re at, our team of technology specialists can help you set the standard that holds as you scale.
